What we collect

When you submit a photo through this site, we collect the details you provide: your name and email address, whether you are the hunter (and, if not, the hunter’s name and your confirmation that you have their permission), the Iowa county or region and hunting season, your caption, the photo you upload, and your consent confirmations. We also record the date and time of your submission and of your email confirmation, and which version of this policy the form showed you.

How we use it

We use your email to send you a confirmation link and, if needed, to contact you about your submission. If you leave the optional news-and-offers box ticked, or say yes when we ask, we will also email you news and offers from Trophy Bucks of Iowa: season updates, featured trophies, and things from our sponsors. Those emails come from us; we do not give your address to a sponsor. Every such email tells you how to stop them, and you can also ask us to stop through the channels under Data Deletion. Approved photos and captions are posted publicly to the Trophy Bucks of Iowa Facebook Page, Instagram account, and the Trophy Bucks of Iowa website (trophybucksofiowa.com). We keep a record of your consent confirmations as proof that we have permission to post your photo.

How we process photos

When you submit a photo, it may be processed by automated services before a person reviews it: one can check it for content we can’t post, and an AI service can find the people and the animal in the picture so our logo can be placed without covering anyone. Only the photo is sent for this — never your name, email or contact details — and these services do not use it to train AI models. They may keep it for a limited time — normally up to 30 days — for security and abuse monitoring before deleting it. A provider can keep it longer only if its systems flag it as breaking their usage rules, or if the law requires it. If you send a photo to our Facebook page, the content check can run as soon as the photo arrives, before you open the link to confirm your submission; if you never confirm, the photo and your personal details are deleted. If you paid for Premium, we keep a record of the payment.

Captions

We may use an AI writing service to polish the caption you write. It receives your caption text and the details we’d publish with your photo anyway (the hunter’s public name, county, season and species), never your email or contact details. It does not use them to train AI models, and it may keep them for a limited time — normally up to 30 days — for security and abuse monitoring before deleting them. A provider can keep them longer only if its systems flag them as breaking their usage rules, or if the law requires it.

Messages to our Facebook page

When you message our Facebook page, the text of your message may be processed by an automated AI service to route the conversation to the right place (for example, to recognize that you want your trophy featured, or that you’d like a person to reply). Only the message text is sent for this purpose — never your name or account — and it is not used to train AI models. The service may keep the text for a limited time — normally up to 30 days — for security and abuse monitoring before deleting it. A provider can keep it longer only if its systems flag it as breaking their usage rules, or if the law requires it.

Improving our services (only if you agree)

If you tick the box allowing it, we may use the photos and details you submit to improve and develop Trophy Bucks of Iowa’s services, including building and training our own automated tools. If you don’t tick it, we won’t use your submission this way. You can change your mind at any time through Data Deletion, and we’ll stop using your submission for this going forward.

Minors

You must be 18 years of age or older to submit through this site — we do not knowingly collect personal information from anyone under 18. Photos featuring a hunter under 18 may only be submitted by an adult who is the hunter’s parent or legal guardian, or who has their parent/guardian’s permission, and we record that consent with the submission. Photos of a hunter under 18 are never used to build or train our automated tools, even if the box allowing it is ticked. Parents and guardians can ask about or remove a photo of their child at any time — see Data Deletion.

What we don’t do

We do not sell your personal information. We do not connect to or post from your social media accounts — we only post from our own Trophy Bucks of Iowa accounts.

Retention & contact

We keep submission records for as long as needed to operate the page and document consent. To ask about or delete your information, contact us through the Trophy Bucks of Iowa page — see Data Deletion for exactly how.

We count aggregate, cookie-less website traffic (daily page views and visitor totals) to understand how the site is used. No cookies are used. Visitors are de-duplicated using a daily-rotating code derived from the visitor’s network address and browser; the codes are kept for about a week (at most eight days) and are never linked to your name or submissions.

Changes to this policy

This policy has a version number and an effective date, shown below. If we change how we use information you’ve already given us, we’ll ask for your permission first; we won’t apply a new use to past submissions just by updating this page.
